How Does ServiceNow CMDB Manage Configuration Data?

If you have worked in an IT team for even a year, you know how messy things get. Servers are added, old ones are forgotten, someone replaces a database and doesn't tell anyone. Then one day an application stops working, and nobody knows what it was connected to.

The CMDB in ServiceNow is used for the same purpose where it stands for Configuration Management Database. What it actually stores

Each item in the CMDB is called a Configuration Item, or CI. A server is a CI. So is a laptop, a router, a database, or an application. Every CI has its own record with the usual details: name, IP address, OS, owner, location, status.

How the tables work

CIs sit in tables, and the tables follow a parent and child pattern. The top one is cmdb_ci. Under it comes cmdb_ci_computer, then cmdb_ci_server, then something like cmdb_ci_linux_server. A child table gets all the fields of its parent and can have its own extra fields. That is why a Linux server can have fields a printer doesn't need. The links between CIs are saved in a separate table called cmdb_rel_ci, with types like "Runs on", "Depends on" and "Hosted on".

How data gets in

Nobody types thousands of records by hand. Most of it comes from Discovery, which scans the network, finds devices, and reads their details. You can schedule it so the data doesn't go stale. Service Mapping goes the other way round: you start from a business service and it works out which servers are behind it. For data that lives elsewhere, like Excel sheets or other tools, you use Import Sets and Transform Maps. Manual entry also works, but I would keep it for things Discovery can't reach.

The duplicate problem

This is where many projects go wrong. Discovery finds a server, an import file lists the same server, and a cloud tool reports it again. Now you have three records for one machine.

IRE, the Identification and Reconciliation Engine, deals with this. When data comes in, it checks if the device already exists, using things like serial number or MAC address. If it does, it updates the old record. It also decides which source to believe when two disagree. For example, you may trust Discovery for IP addresses but trust the purchasing system for ownership. Bad identification rules are behind a lot of dirty CMDBs.

Keeping it clean

A CMDB that people don't trust gets ignored. ServiceNow will offer you the CMDB Health Dashboard. It will check the major things, such as whether important fields are there, whether there are duplicates, whether there are CIs with no relationships, and whether the data follows your own rules. You can also send the certification requests to the CI owners. This will help confirm that records are still right and use the CMDB Data Manager for retiring CLs nobody is using anymore.

CIs also have a life. They get ordered, installed, maintained and finally retired, and the Install Status and Operational Status fields track that.
